How the Layers Work
Every AI send in ParleHub passes through up to three budget checks before it is executed. The most restrictive layer wins — if any layer is exhausted, the send is blocked.- Project budget — blocks a specific send in a specific project when that project’s monthly budget is depleted. This is the first and most granular control, scoped to a single client engagement.
- Personal cap — blocks any send by a specific user once they have spent their monthly personal limit across all of their projects combined. This prevents a single user from consuming a disproportionate share of the org’s AI budget regardless of which projects they are active in.
- Org-wide cap — blocks any send by anyone in the org once total org-level AI spend reaches the monthly ceiling. This is the ultimate backstop: no single project or user can push the org beyond the limit you set.
Caps apply to model API call costs only — they do not affect your ParleHub subscription fees.
Setting the Org-Wide Cap

Open Spending Limits
Navigate to Settings → Spending Limits.

Enter the Monthly Dollar Cap
Under Org-Wide Monthly Limit, enter the maximum dollar amount the entire org may spend on AI model calls in a single calendar month.

Save
Click Save. The limit is active immediately. The cap resets automatically on the first of each calendar month, regardless of how much of the period has elapsed.
Setting Per-User Caps
Navigate to Settings → Spending Limits → Per-User Limits. You have two options:- Default cap — enter a dollar amount in the Default Limit field. This applies to every member who does not have a custom limit assigned.
- Individual cap — click a specific member’s name in the list and enter a custom monthly limit for that person. Individual limits override the default for that member only.
What Happens When a Cap Is Hit
When a send would exceed an active cap, ParleHub blocks the request before it reaches the model provider. The member sees an in-app message explaining which limit was reached.Project budget blocked

The project has exhausted its monthly budget. The member sending the message can request a budget increase from the project admin, or the project admin can raise the budget directly in the project’s settings.

The member has reached their monthly personal spending limit. Only an org admin can raise the limit. Navigate to Settings → Spending Limits → Per-User Limits, select the member, and increase their cap.
Org-wide cap blocked
Org-wide cap blocked
The entire organization has reached its monthly AI spending ceiling. All sends from all members are blocked until an org admin raises the cap or the month resets. Navigate to Settings → Spending Limits and increase the Org-Wide Monthly Limit.
